Customer Service Coordinator

Filling Pieces is currently looking for a strong service oriented coordinator for the customer service department. In your role you will assist the Head of Customer Service in the set up and implementation of service related projects. Furthermore, you will provide customers with accurate, valid and complete information regarding our products and services. 


Responsibilities:


  • Evaluate and make proactive suggestions to improve the customer experience
  • Take ownership over different projects
  • Constantly taking initiative to improve the customer journey
  • Provide the best customer care in order to enhance worldwide customer satisfaction
  • Answer the questions from our customers properly and efficiently through telephone, e-mail, social media, chat and WhatsApp.
  • Following social media and digital communication trends
  • Ensure that all customers’ concerns and enquiries are dealt appropriately and in a timely manner 

Profile:

Office Manager / General Assistant

Filling Pieces is looking for a multi talented Office Manager/General Assistant for our office in Portugal. You will be in charge of all Office Management duties, including but not limited to: answering phone calls, receiving and sending packages and anything else to keep the office running.


Responsibilities:


  • In charge of all kind of office management duties
  • Point of contact for general information and providing secretarial support 
  • Answer phone calls and direct them to the appropriate ones
  • Coordinate and purchase office supplies  
  • Purchase and organize lunch
  • Follow up business trip bookings 
  • Make sure the entire office is clean and tidy
  • Support where necessary within FP
  • Assist the Production and sampling team 
  • Responsible for all materials and stock monitoring
  • Coordinate and support with weekly planning 
  • Support and prepare meetings by managing agenda
  • Work closely with the Operations team to achieve prioritised requirements
  • Prepare and communicate detailed production schedules
  • Create and process incoming invoices of suppliers 
  • Taking care of all packages (inbound & outbound)

Production Assistant


Filling Pieces is looking for a multi-talented Production Assistant to join the team in Amsterdam. You will support the production team in the operational day to day activities linked to Production and Operations. In this role you will be responsible to help ensure timely production of samples and collection, keep track of planning and reporting. 


Responsibilities:


  • Support Operations Manager and Head of Production
  • Work closely with the Operations team to achieve prioritized requirements
  • Safeguarding deadlines of management reports
  • Responsible for daily administration
  • First control point of supplier invoices
  • Linking pin between design and production teams
  • Responsible for a well-organized presentation of the production department
  • Organize business trip bookings with the Office Manager
  • Work closely with the Design Coordinator and the FP office in Portugal 
  • Coordinate and support with weekly planning

Filling Pieces is looking for a talented Marketing intern. In this role you will support the marketing team in coordinating the marketing of Filling Pieces across PR, social, events and retail marketing.


Responsibilities:


  • Assist in the organization of international marketing events
  • Assist in the organization of product shoots 
  • Gather social highlights for our weekly marketing update
  • Assist our Art Direction team
  • Assist in the coordination of launching multiple in-store product campaigns
  • Assist with other ad hoc marketing activities
  • Assist our marketing coordinators side by side
